Make lists

Keep track of your ideas and things to do together, like a to-do list or a list of places you want to go.

What is it?

Collect the things you two do together in one place, like a shopping list, a packing list for a trip, or the steps for a move. You can make as many lists as you like and group them with list categories. Each task can have an assignee, a due date, a color label, subtasks and more, and updates show up in the timeline.

Create a list

  • Default mode: Tap "+" at the top right of "Top" on the Home screen and choose "Checklist."
  • Custom mode: Open the "Lists" tab in the bottom menu, tap "+" at the bottom right, and choose "Add list."
  • When you create a list, you can set a few things.
  • Icon: Choose an emoji or upload an image. If you leave it alone, the default list icon is used.
  • Title: The name of the list. If you leave it blank, the list is saved as "Untitled List."
  • Description: Write down what the list is for or any other notes.
  • Category: Choose one of your list categories. The default is "All Lists" (no category).
  • Assignee: Choose "Both of us," your name, or your partner's name. The default is "Both of us." For example, if you make it your list, you're the assignee for every task in it. Only "Both of us" lists let you choose an assignee for each task.

Change or delete a list's settings

  • Open the list and tap its title, or tap "..." at the top right and choose "Show page menu" to change its settings. Besides the options you set when creating it, you can also set these:
  • Related Pages & Files: Add shortcuts to other threads, lists, Wiki pages, folders and files related to this list. They appear at the top of the list. In Default mode, you pick straight from all your pages without choosing a type first (in Custom mode, you choose the type first).
Show on Home Screen (Custom mode only): Add a "List" widget to show a specific list on your Home screen. You can also add it from "..." at the top right of the list page → "Show on Home screen."
  • Change Background: Set one of your backgrounds or upload any image you like as the background.
  • Move to Archive: The list disappears from your list view but its data is kept. You can also drag and drop it onto the box icon to the right of the "Top" heading on Home (in Custom mode, onto the archive icon at the top right of the list view) to send it to the archive.
  • Delete: Permanently deletes the list and all the tasks in it. This can't be undone.

Organize with list categories (Custom mode only)

  • List categories aren't available in Default mode. Use folders to organize instead (see "Organize with folders").
  • As your lists grow, you can organize them with list categories. Tap "+" at the bottom right → "Add category" and enter a name (for example, "Our lists" or "Home").
  • Drag and drop to reorder. Press and hold a list or a list category heading to drag it. Drop a list onto another category's name to move it into that category.
  • Tap a category name to collapse or expand the lists in it. Whether a category is collapsed is saved on each device, so it doesn't change your partner's screen.
  • Use "..." to the right of a category to rename or delete it. Deleting a category doesn't delete the lists in it; they move to "All Lists" (no category).

Switch views (Custom mode only)

  • Default mode doesn't have a Lists tab, so there's no view to switch (chats and lists appear together under "Top" on Home).
  • In Custom mode, choose "Switch to task view" or "Switch to page view" from the menu at the top right of the Lists tab. Your choice is saved on your device, so the same view opens next time (it doesn't change your partner's screen).
  • Page view: The standard look, shown as list categories → lists. For people who like to organize with categories.
  • Task view: A minimal look that hides categories and shows lists → tasks in one flat view. For people who keep just a few lists and want things simple.

Add a task

  • Open a list and tap "+" at the bottom right (in Custom mode, you can also tap "+" at the bottom right of the Lists tab → "Add task." In Default mode, open the list from "Top" on Home and add it there). You can set the following:
  • Task title: Required. Enter something to do or an idea. You can enter multiple lines, and URLs too.
  • Description: Optional. Describe the task. You can enter multiple lines, and URLs too.
  • List: When you add a task from the Lists tab in Custom mode, choose which list to add it to. Use the gear icon next to it to set the list you add to most often (your default list). When you add a task with "+" inside a list, it goes into that list.
  • Assignee: Choose "None," "Both of us," your name, or your partner's name. This only appears when the list's owner is "Both of us." Tasks assigned to your partner don't appear in your by-due-date view, even if they have a due date. Tasks assigned to "Both of us," or with no assignee, appear for both of you.
  • Due date: Tasks with a due date appear in the by-due-date view. In Default mode, tasks due on a given day are listed as "Task" on the calendar card on Home (with the list name and the assignee's icon), and once the due date passes they appear under "You have overdue tasks." In Custom mode, they appear in the Calendar widget on your Home screen.
  • Color: Choose a color from the palette icon at the top right. It shows as a color bar on the left edge of the task.
  • When you add a task, your partner gets a push notification (unless they've turned off this type of notification).
  • On the free plan, you can add up to 30 tasks per list. With COUPPLY PRO, there's no limit.

Complete, edit or delete a task

  • Tap the check button at the right end of a task to mark it done or not done. When you mark a task done, your partner gets a push notification saying you completed it, and the list shows as unread on their side. If you uncheck it to mark it not done again, there's no notification and nothing is recorded.
  • Tap a task to open the edit screen. You can edit the title, description, assignee, due date, color, subtasks and comments. Subtasks can have their own comments too.
  • Delete a task with the trash can icon at the top right of the edit screen. To delete several tasks at once, tap "..." at the top right of the list → "Delete tasks in bulk," then choose "Completed tasks only" or "All tasks."
  • Press and hold a task in a list to drag and drop it into a new order.

See tasks across lists in the By due date tab

  • In Default mode, tap "N more" under "You have overdue tasks" on Home to open the lists screen. Then switch to the "By due date" tab at the top.
  • The "By due date" tab at the top of the lists screen shows unfinished tasks from all your lists in order of due date. The red badge next to the tab name shows how many tasks are assigned to you (or to no one) and due "today or earlier" (overdue plus due today).
  • Switch the user name tab at the top left to see tasks assigned to your partner too. Tasks assigned to both of you, or to no one, appear on both.
  • Use the toggle icon at the top right to switch between list and calendar. In the list view, you can drag a task to another date to change its due date.
  • If a task has subtasks, they're listed on its card, under the task name, and you can mark them done right there. When you mark one done, just like when you complete it from the list screen, your partner gets a notification and it shows up in the timeline.

Timeline tab

  • The "Timeline" tab shows activity for lists and tasks (lists created; tasks added, updated or completed; subtasks completed).

Review stale tasks

  • A "stale task" is a task with no due date that was added a while ago and still isn't done. When you have any, the counselor's speech bubble on Home shows "Time to review your tasks" (in Custom mode, a card appears at the bottom left of the Lists tab). Tap it to open the task review screen, where tasks are listed oldest first. You can complete them, set a due date or edit them right there.
  • A task counts as stale after 2 weeks by default. You can change this to 1 week, 2 weeks, 3 weeks or 1 month with the dropdown at the top right of the task review screen, or from "..." at the top right → "Stale task review settings."

Show a list on the Home screen (Custom mode only)

  • You can put one specific list in a "List" widget on your Home screen. Choose how tasks are shown: hide completed tasks, show all, or scroll.
  • Add it from "..." at the top right of the list → "Show on Home screen," or from "Home Screen Settings" at the bottom of the Home screen → "Add Widget."

FAQ

Q. What's the difference between task view and page view?

Page view is the standard look with two levels, list categories → lists. Task view is a minimal look that hides categories and shows lists → tasks in one flat view. Switch between them from the menu at the top right of the Lists tab (Custom mode only). Your choice is saved only on your device.

Q. Who does a task assigned to "Both of us"?

It means you'll do it together, or that either of you can do it. Only in "Both of us" lists does each task also get its own assignee field, so you can choose yourself, your partner, both of you, or no one for each task.

Q. I don't see a field for choosing a task's assignee

That's because the whole list's owner is set to either you or your partner. Tasks automatically take the list owner as their assignee, and you can't change it. To assign tasks individually, change the list's owner to "Both of us."

Q. What happens to finished tasks?

Checking a task marks it done, and it's hidden by default. Use the eye icon at the top right of the list to show or hide completed tasks. This setting is remembered for each list.

Q. I want to delete just one task

Tap the task to open the edit screen, then tap the trash can icon at the top right. To clear out all completed tasks at once, tap "..." at the top right of the list → "Delete tasks in bulk" → "Completed tasks only."

Q. What's a "stale task"?

A stale task is one with no due date that's still not done some time after you added it (2 weeks by default; you can change this to anything from 1 week to 1 month). When you have stale tasks, the counselor's speech bubble on Home lets you know (in Custom mode, it appears at the bottom of the Lists tab). Tap it to open the task review screen, with tasks listed oldest first, where you can complete them, set a due date or edit them.

Q. How many tasks can a list hold?

On the free plan, up to 30 tasks per list. With COUPPLY PRO, there's no limit, so you can add as many as you like.

Q. Will I get a notification when a task is due?

There's no push notification for due dates. In Custom mode, a red badge on the "By due date" tab label shows how many unfinished tasks assigned to you (and to both of you) are due today or earlier. In Default mode, unfinished tasks past their due date appear under "You have overdue tasks" on Home (up to 3 tasks plus "N more," with how many days overdue each is). Use these to keep track.

Q. My lists won't show up, or I see "Failed to load"

When your connection is unstable, your lists can take a while to load, and gray placeholders appear in the meantime. If loading fails, you'll see "Failed to load." Check your connection and tap "Reload." Your lists haven't disappeared (also see the help topic When a list shows "Failed to load").
